Approval and Workflow

The Approval and Workflow processes are nearly identical for Travel Request Approvals and Expense Report Approvals, with the only difference being “Risk Approvers” in Travel approvals, and “Financial Processor” role in Expense Report approvals.  Click on the left menu for details.

Approval Workflow is based primarily on Department ID, based on the feedback collected from campus departments for the respective Roles prior to going live. Subsequent changes can be made by completing the Departmental Approval security form.

How to Access the List of Departmental Approvers

To verify the current list of departments and their designated approvers, follow these steps to access the report in REX:

    1. Log in to REX: Navigate to Rexanalytics.UMBC.edu.
    2. Locate the Travel Folder: Once logged in, open the Travel folder within the analytics dashboard.
    3. View and Verify Data: Within this folder, you can view the existing departmental data to identify any errors or necessary updates for your area.
    4. Request Changes: If corrections are needed, please complete the Departmental Approval security form to submit updates.
    5. Delegate Approvers:  If you are already an Approver and need to temporarily delegate your authority to another Approver, here’s is a summary.

SAP Concur Chartstrings –  Chartstrings in SAP Concur are updated nightly from PeopleSoft Finance. The current interface is designed to send only valid chartstrings to SAP Concur. This approach differs from the previous Travel System, which performed real-time chartstring validation against PeopleSoft using web services.

We have confirmed that all chartstrings used in the Travel System over the past five years are available in SAP Concur, unless a value has since been inactivated.  If you believe there is a chartstring missing from SAP Concur, please let us know at your earliest convenience.
