SAP Concur Travel System – Entering the Next Phase

Dear UMBC Community,

We’re excited to share that the SAP Concur Travel Implementation Project is entering its next major phase: testing and change management planning.

As we move forward, we want to ensure that this transition is not just about technology—but about people. Our goal is to make this change as smooth, transparent, and beneficial as possible for the entire campus community.

What to Look Forward To

With SAP Concur, UMBC will benefit from:

  • Streamlined travel booking and expense reporting

  • Mobile access for submitting receipts and managing trips on the go

  • Improved compliance with travel policies and federal regulations

  • Integrated international travel support through Terra Dotta and CISI

  • Better visibility into travel spending and analytics

What Our Change Management Efforts Will Include

To support this transition, we are launching a comprehensive change management strategy that includes:

  • Stakeholder engagement: Identifying and involving key groups early to ensure their needs are heard and addressed

  • Targeted communications: Sharing timely, relevant updates tailored to different audiences

  • Training and support: Offering hands-on sessions, resources, and help channels to guide users through the new system

  • Feedback loops: Creating opportunities for you to share your experience and help shape the rollout

Upcoming Change to UMBC’s Travel System – Globetrotter Discontinued as of July 1, 2025

As we prepare for the upcoming launch of SAP Concur, which will replace our current Travel System 2.0, we are making some important changes to streamline our travel services.

Effective July 1, 2025, Globetrotter will no longer be available as a travel agency option within the UMBC travel system.

Here’s what you need to know:

  • Pre-approvals that have already been submitted and approved with Globetrotter will continue to be serviced by Globetrotter through completion.

  • New travel pre-approvals submitted on or after July 1, 2025 will no longer have the option to select Globetrotter.

This change is part of our transition to SAP Concur, a modern travel and expense platform designed to simplify and improve the travel booking and reimbursement process for the UMBC community.

We appreciate your cooperation as we move toward this exciting upgrade. Additional updates and training opportunities related to SAP Concur will be shared in the coming months.

Downtime THURSDAY - PS Finance, Approx. 3 hours on 5/22/25

To All PeopleSoft Finance / PAW / Travel System Users,

Please note that the Finance system will be down for quarterly system maintenance.  The system will be down Thursday, May 22nd, between 5:00 PM and 8:00 PM.  (This is unlike the typical Friday schedule. If the work finishes early, the system will be made available ahead of schedule).

Thank you very much for your cooperation.  If you have any questions or concerns, please submit them here.

Travel System Users:  The Travel System will not be available for Pre-Approval (PA) or Travel Reimbursement (RB) processing during the downtime.  When PeopleSoft comes back online, Travel System service will be restored.

PAW Users:  During this time, any transactions that require validation will be unable to complete that step in workflow. However, other aspects of PAW will not be affected.

Southwest Airlines - Upcoming Changes

Upcoming Changes to Southwest Airlines Services

Please be advised that Southwest Airlines has announced several upcoming service changes that will begin taking effect in 2025 and continue into 2026. These changes may impact university travelers, including faculty, staff, and students who fly Southwest for official business or personal travel. We are sharing this information to help the UMBC community plan accordingly and avoid potential disruptions.

The following service updates have been confirmed:

  • Baggage Fees: Effective May 28, 2025, Southwest will begin charging fees for checked baggage. Specific pricing and allowances have not yet been announced.

  • Seat Selection: Assigned seating and premium seating options are expected to become available beginning in early 2026. Further details are forthcoming.

  • In-Seat Power: New 737 MAX 8 aircraft will include in-seat power ports. Southwest plans to retrofit existing 737-800 and -8 aircraft as well.

  • Enhanced WiFi: Onboard WiFi systems are being upgraded to provide faster and more reliable internet access across the fleet.

  • Larger Overhead Bins: Newly delivered aircraft will include larger overhead bins to improve carry-on capacity.

  • Updated Cabin Seating: Redesigned seats will be introduced starting in 2025 to enhance comfort during flight.

  • Digital Enhancements: Improvements to Southwest’s mobile app and website will include features such as digital bag tracking and expanded self-service tools.

These changes represent a significant shift from Southwest’s traditional policies and may influence decisions about travel logistics and budgeting. Travelers are encouraged to review these updates and consider them when making future travel arrangements.
